Our responsibility
We aim to exceed minimum requirements for handling data. We aim to be transparent, responsible and proactive. Upon request, we will provide all of our customers, partners, service users and staff with copies of all data that we hold and process. We will comply with any request to delete your data, first explaining if any services may be impacted by removal and allowing you the choice to continue to use the service; subject to any legislation that requires us to retain data for a period. Upon first contact regarding a data enquiry, we will nominate a dedicated Data Controller to liaise with you in handling any request promptly and with 100% cooperation.
We process data for: customers | partners | service users | staff
Rather than being stored on local servers or computers, all data is now processed securely within the Microsoft cloud, under the protection of Microsoft's European data centres; we have adopted their best practise and tools including MFA, encryption, automated detection of data, data policy assignment, auditing and retention. We will continue to adopt best-practise recommendations and tools as Microsoft continue to enhance their capabilities. This process is overseen using Microsoft’s Compliance Manager cloud solution.

Your continued use of any of our services constitutes your consent for us to process data needed to supply that service. This may include your name, an encrypted password (none of our staff can decrypt your password), address, email address, contact phone number, and payment reference ID (your actual payment details are not processed by us, but are securely handled by the third-party payment processor; none of our staff can see your bank account or card details). You may terminate your consent by contacting our Data Controller using the details at the end of this document.
Some consent is specific to types of data, as outlined here:
Service user data
We will only process data required by law in the region of employment. In addition, we may - with written consent - process performance and review data, comments from instructors, and comments from customers/suppliers as a result of their interaction with an employee.
Customer data
At the point of filling in a form to request a product or service, or to request a quote, you are providing consent for us to process the data entered for the sole purpose of providing that service. In the case of a quote, you consent to some of that data being shared with any third-party suppliers – also upholding these same data policies – who may need to undertake a site survey in order to complete the quote; all data will be deleted within 30 days if you choose not to proceed after having received the quote.
All employees receive ongoing training to identify and label data. A key manager is responsible for the role of Data Controller, and access to third-party legal advice is also in place to ensure ongoing compliance. Customers also have the benefit of us being registered in the UK with the Information Commissioner’s Office (ico.org.uk) in the case of being dissatisfied with our handling of data, or of any Subject Access Requests.
In addition to our annual audit, we employ Continuous Data Protection methods to analyse data as it enters the Microsoft cloud and automated reports are made available to the Data Controller.
Please directly contact our Data Controller using the contact link below, and a named person will promptly respond. The named person will provide you with their direct, secure contact details and work with you until you are 100% satisfied with the outcome. The Data Controller will also accept any suggestions for improvement that you offer. You may also contact us using any of the methods below for general privacy policy questions.
